Event Planning Form
Before meeting with advisor
- Complete the form below
- Research vendors if necessary
- Have info for contracts if necessary
- Know your plan of advertising
- Know which forms you will need but review them with advisor before submission
Deadlines
- Must meet with your advisor at least three (3) weeks prior to the event
- Contracts can take up to 14 business days to process. Advisor must approve of contract before it is sent to the Business Office for official approval.
- In Winter Quarter 2020 onward, the minimum planning time will be four (4) weeks.
Finances and Reimbursements
- Vendors are paid either via card or purchase order. Consult with advisor. Never commit to paying a vendor before the advisor approves
- Students should not have to pay out of pocket for university programs. If necessary, contact advisor before making purchases
- Fill out a Post Evaluation Form after your event.
- Turn over any financial/vendor documents you might have to your advisor.
Publicity
- Begin publicizing your event at least two weeks in advance.
- We are Thurgood Marshall College, NOT TMC, at UC San Diego, NOT UCSD.
- A Facebook event page can/should be made through the Marshall Facebook page, which can be done by contacting the Program Assistant.
- Please use #TMCisFamily on all photos posted to Instagram
- Marshall Memos announcements are due the Thursday before the week of your event. Please send a 1) Title/header 2) 200-300 word blurb 3) website link for more info 4) graphic that is 600 W x 200 H
- Marshall/UC San Diego logos should be included on your graphic, please contact Program Assistant for the files.
